I am writing to request purchasing approval for upgrades to the A/V system in the Bedford County Boardroom. Administration would like to purchase an upgrade that will allow board members and county staff who can’t attend a meeting in person to call or video conference into meetings through the A/V system. Currently, we use cell phones that are placed near microphones.

The Boardroom A/V system cannot accommodate this upgrade without additional equipment and in-person programming. The company who installed the system, Technical Video Systems based in Cary, N.C., custom-built this system and is the only vendor qualified to make these upgrades. They also presented this upgrade option when installing the system, but it was not proceeded with at that time.

The Boardroom A/V system is comprised of numerous pieces of technology that are connected to other platforms, YouTube and PrimeGov, enabling us to livestream to the public. A new vendor that is unfamiliar with all of this technology and how it feeds in to our streaming services could potentially make changes that affect compatibility.
